When you use the bot or are part of the server, we process your Discord user ID, username, display name, avatar and server roles, and the inputs you give the bot: slash command options, button and menu choices, and the text you type into its forms (for example a reason, an appeal or a recording link).
We read message contents in two situations only:

The Community links Discord and Roblox accounts through RoWifi, a separate verification service. We do not run our own sign-in and never receive your Roblox password or login tokens. When the bot needs your Roblox account, it asks RoWifi which account your Discord account is linked to and keeps a copy of that link so it doesn't have to ask every time.
For community management we look up information that Roblox makes public: your profile (username, display name, account age), past usernames, group memberships and ranks, badges, avatar, whether your inventory is public, and your current online status. We use Roblox's own APIs for this.
As part of running the Community, staff keep records tied to your Roblox username and, where linked, your Discord account:
The Community's Roblox games report gameplay statistics to our API: your Roblox user ID and username, which game you played, how many sessions and how much time you spent, and per-game stats such as scores. Game servers can also send a log of in-game admin commands (who ran which command on whom, and when) for staff review, and staff can ban an account from the Community's games through the bot.
Staff who log into the web dashboards sign in with Discord. We store a session with their Discord ID, username and avatar while they are logged in. API keys used by the Community's games and tools are not tied to any individual member.
We do not sell data, use it for advertising, or share it outside the services listed below.
Running these services involves a small number of providers, each with their own privacy terms:
Everything else, including linked accounts, in-game stats, prestige requests and dashboard sessions, is stored in a database on our own server.
We keep what the Community reasonably needs for these purposes and delete or anonymize records on request, except where something must be kept for a legitimate moderation, security or legal reason.
To stop the bot finding your Roblox account, unlink it in RoWifi. The bot's own copy of the link is dropped the next time it checks.
To request a copy of your data, or its deletion from our systems, email admin@cipherinteractive.dev with the subject line "[IMPORTANT] Data Erasure Request" (or "Data Request" for a copy), or contact staff in the Nighthawk Commandos Discord server. Include your Discord ID and/or Roblox username so we can find your records. We'll confirm once the request is done. Records connected to an open investigation or appeal may be kept, in redacted form where possible, until it is resolved.
EIC case history and alt account records are not included in copies and are kept when deletion is requested, because sharing or removing them would undermine exploit and ban-evasion investigations.
We protect the data we hold with scoped, revocable API keys, access-controlled staff dashboards, transcripts that can only be opened by staff or through unguessable links, and encrypted connections to our providers. No system is perfectly secure, and we can't guarantee protection against every possible compromise.
Our services are used through Discord and Roblox and are subject to those platforms' own age requirements (Discord requires users to meet the minimum age in their country, generally 13 or older). We do not knowingly collect data from anyone below that age beyond what Discord or Roblox already require.
We may update this policy as the services change. Meaningful changes update the effective date at the top of this page; continuing to use the bot or dashboards after a change means you accept the updated policy.
